Purpose of the application

The “Weilandt Elektronik RMA” application allows service customers to submit devices for repair and track the status of service orders. Use of the application requires an account on the Weilandt Elektronik RMA Portal. The application does not create accounts; registration takes place on the service website.

Data we process

Account data provided during login:

– e-mail address,
– password – transmitted solely for authentication purposes and not stored on the device.

Service request data transmitted when you submit a repair request:

– serial number, model, manufacturer, and device name,
– description of the fault and accessories,
– type of repair and service contract number, if applicable,
– phone number and device pickup/return address, if provided.

First name, last name, and company details (name, Tax ID, address) are retrieved from your portal account—the application does not transmit them. This design is intentional: it prevents submitting a request on behalf of another company.

Data the application does not collect

– It does not collect location data. The application does not have any location permissions. – It does not use analytics or crash reporting tools. The app does not include
Google Analytics, Firebase, the Facebook Pixel, or any similar solution.
– It does not collect device identifiers. Upon login, we transmit the phone model
and manufacturer solely so you can recognize your session
in the list of devices on the portal.
– It does not use cookies or tracking technologies. These apply to the
website, not the app.

Camera and label reading

The app requests access to the camera solely to read the serial number and model
from the device label.

The photo of the label never leaves the phone. Analysis takes place entirely
on the device, using text and code recognition models built into the app-
without connecting to any cloud service. The photo is deleted immediately
after reading, even if the reading results in an error.

The app does not take or transmit photos of damage. However, it allows you
to view photos taken by the service center during repair and save them to a location
of your choice.

Data stored on the device

The app saves locally only what needs to persist during a lack of network coverage:

– the service request being prepared and the send queue-serial number, model, and fault description;
this ensures that a request created offline is not lost and is sent automatically once
connection is restored;
– the session token, secured by the Android system’s encryption mechanism with the key
stored in the hardware-backed keystore (Android Keystore).

The local database does not contain personal data. App data backup is
disabled, so its contents are not uploaded to the cloud. The session expires after 7 days of inactivity, or after a maximum of 30 days.
Logging out immediately invalidates the token.

Data recipients

Data from service requests is transmitted solely to the Weilandt Elektronik RMA Portal and the administrator’s service system for the purpose of carrying out repairs. We do not share this data with third parties for marketing or analytical purposes, nor do we transfer it outside the European Economic Area.

Entities involved in providing the service (e.g., courier companies delivering devices, accounting firms) are listed in the general privacy policy.

Transmission security

All communication between the application and the portal takes place exclusively via an encrypted HTTPS connection.

Your rights

You have the right to access your data, rectify it, delete it, restrict its processing, transfer it, and object to its processing, as well as the right to lodge a complaint with the President of the Personal Data Protection Office.

Legal basis and retention period

We process data for the purpose of performing the service agreement (Art. 6(1)(b) GDPR) and fulfilling legal obligations related to accounting records and the complaint procedure (Art. 6(1)(c) GDPR). Service request data is retained for the period required by law for accounting and warranty documentation.

Policy changes

We will notify you of significant changes to this policy in the application update description on Google Play. The date of the last update appears at the beginning of the document.
